When you register, submit a paper, apply to speak, or fill any form on this website, we collect:
- Full name, email address, phone number
- Institutional affiliation, designation, country
- Research paper content and metadata
- Payment information (processed securely by Dodo Payments — we do not store card numbers)
- IP address, browser type, and event analytics
2. How We Use Your Information
- Send registration confirmations, joining links, and receipts
- Process paper review and acceptance notifications
- Publish your name in conference proceedings (if accepted)
- Send conference updates if you subscribed
- Improve our website through aggregated analytics (Google Analytics 4, Microsoft Clarity)
3. Data Storage
All form data is stored securely in Supabase (PostgreSQL), hosted on AWS with AES-256 encryption at rest. File uploads (papers, photos) are stored in Supabase Storage. We retain records for up to 5 years for academic proceedings purposes.
4. Third-Party Services
- Dodo Payments — payment processing. Their privacy policy applies to payment data.
- Resend — transactional email delivery.
- Google Analytics 4 — anonymized website usage analytics.
- Microsoft Clarity — heatmap and session recording (anonymized).
5. Your Rights
You may request access, correction, or deletion of your personal data at any time by emailing privacy@scholarvault.in. We will respond within 7 business days.
